I am writing this letter to make complaint regarding the product that I purchased recently. I bought a washing machine with serial number no. 1234.567 and product model no. 9876.432 from one of your outlet in Dirgantara Street, no. 15, Bekasi.

The product did not work properly. Its water player cannot move and when it operates the machine became very hot quickly. I have lodged a complaint on your customer service center, but there is no respond or action taken till now.

I have been a customer of your outlet for long, but this incident made me disappointed with the service you provide. Therefore, I ask want you to take an action to resolve this problem as early as possible. I attached a copy of the bill and photos of the product.  (6) Body of the letter

1. Letter head contains company’s name, address, email, website as well as its telephone number.

2. Reference line contains the full name or initials of the author / company leader

 

RA (Raffi Aditya) is the initial of the person who signs the letter. 

VC (Victor Company) is the initial of the person who writes the letter. 

21A is the filling number from the filling system 

When you receive a letter with reference line, you have to reply that letter by writing you reference line too.

 

3. Date line If you want to write a letter there are 2 ways to write a date line. You can write the date line in British or American style.

The letter used in this date line is American style

American style :April 12th, 2020 or April 12, 2020 

British style : 12th  April 2020 or 12 April 2020


4. Inside Address is the address of the recipient

5. Salutation it will be easier for us to greet or call the target person with a greeting like

If the greeting uses "Dear Sir", for example, then a suitable closing greeting is "Yours faithfully", or less commonly "Yours really". Meanwhile, "Sincerely" or "Sincerely yours", is used if the opening greeting uses, for example, "Dear Mr. Black "," Dear Ms. White ”,

 

6. Body of the letter 

It is that portion of the letter which contains the message or the information which the writer wants to communicate. It is usually divided into 3 paragraphs; opening paragraph, message of the letter, closing paragraph.

 

Opening paragraph: This letter to make complaint regarding the product that I purchased recently.

 

Message of the letter: The product did not work properly. I have lodged a complaint on your customer service center, but there is no respond or action taken till now.

 

Closing paragraph: I ask want you to take an action to resolve this problem as early as possible. I attached a copy of the bill and photos of the product.

 

7. Complimentary close 

This should always agree with salutation and it must always be followed by comma or colon

 

Dear Sir : Yours faithfully or Yours truly

Dear Mr. Bagus or Dear Ms. White : Sincerely or Sincerely yours

 

8. The Signature 

The complimentary close will be followed by signature. Signature will be followed by the name of the person who sign the letter and his/her position in the company.

9. Enclosure

The enclosure is an attachment that is included but on another page

Enclosure is written if you enclose any file beside of the letter that you sent.
